Due to an expanding headcount, our Client identified a requirement to relocate to a larger office close to their existing location in Kaunas, Lithuania. FMS were initially engaged to assist with building selection and recommendation and then additionally to Project Manage and Design the newly selected location – an ex-sports hall being converted into on office building across 3 floors. Our client would be occupying a 10,000ft2 space which would accommodate 70 workstations, Reception area, private offices, meeting rooms, breakout space and ancillary rooms. FMS worked with the Client and Landlord’s contractors to define the project scope, budget and test-fit space plans, as well as negotiations regarding base-build inclusions of which the Landlord would bear the costs.
On approval of the space plan, FMS worked through the detailed design process, including full space planning, technical layouts, detailed elevations and provision of 3D rendered images to assist the Client stakeholders understand how the finished environment would look. Our design team specified all finishes and materials, designed bespoke furniture items and kitchen areas as well as light fittings and features. The team were engaged throughout the entire project process in order to maintain the design intent and ensure that the end results were consistent.
FMS managed the project remotely, working closely with both the local Client team and the Landlord’s contractor. Weekly meetings and reports were established to maintain supervision of activities and keep up to date with progress. Periodic site visits and meetings with the contractor’s project team also ensured any queries could be quickly answered.
As part of the Project Management service, FMS also managed the project budget and coordination of payments to contractors and suppliers. Weekly Client project calls kept key stakeholders informed of progress and allowed close cooperation between all parties, including IT, Security, Facilities Management and Local and Executive Management. Our team were fully engaged on multiple levels to ensure communication was consistent and the Client’s expectations were met at every stage.
Plans for the relocation of existing staff, furniture and equipment were addressed concurrently, with FMS managing process and providing support and advice to the local team. Our team was also on site during the relocation process to manage any additional requirements and to ensure a smooth transition from the old to the new office.
Following successful delivery of a high-quality construction, our Client was delighted to occupy their brand new space on time and within budget.
